iDoc AP · suppliers

The master you keep. The memory iDoc AP fills.

Keep the supplier master up to date: it drives the bank account check, touchless processing and the export. Bank accounts are never learned.

The AP Suppliers list (supplier master) holds each supplier’s tax ID, bank account, payment terms and default coding.

How supplier memory works

Each time an invoice is submitted, iDoc AP remembers the confirmed values for that supplier: tax ID, address, currency, payment terms, tax rate, buyer details, department, cost centre and GL account. On the supplier’s next invoice it fills empty fields with them and corrects a weakly read value it knows better. These fields show the memory badge. The more invoices you confirm, the less you type.

Bank accounts are never learnedThey are always checked against the supplier master. A change on the invoice is a red warning, not a new remembered value.

Purchase orders and goods receipts

If you use purchase orders, add the PO lines to the AP Purchase Order Lines list and goods receipts to the AP Goods Receipt Lines list (paste from Excel in grid view, or import from your purchasing system). Invoices with a PO number are then matched line by line on quantity and unit price (2-way), and on quantity received when goods receipts exist (3-way).

Site owners can require a PO on every invoice and set how far a unit price may differ from the PO: exact, 1, 2 or 5 percent.
